Streamlining Operations for a Statewide Vocational Education Association Executive Summary
We partnered with a statewide association that manages professional development, events, membership, and extended‑campus coursework for educators. Over multiple semesters, we modernized registration and finance workflows, stabilized data refreshes, improved website content operations, enhanced reporting and directories, and tightened security controls. The result was smoother openings of registration windows, fewer manual steps for staff, faster resolution of operational issues, and clearer finance tracking across cohorts and events.
What We Delivered
1. Semester & Event Registration
- Prepared and launched the spring semester registration page and ensured the “Register Here” UX was live on time.
- Updated planning‑retreat registration forms (dates, pricing tiers, role taxonomy, school lists) and returned final links for staff review before publishing
- Implemented nomination/application/response forms for leadership programming and coordinated controlled closure windows to cap submissions.
- Delivered dynamic pricing logic for specialty testing courses, including “member” vs. “other” schools with verification by stakeholders.
2. Extended‑Campus Operations
- Built and tuned SharePoint list filters so courses surfaced correctly by site, location, and cohort; created a consolidated “withdrawn” view to simplify semester reporting.
- Supported ad‑hoc analytics (e.g., net registrations minus withdrawals) to inform university payables.
3. Directory & Reporting
- Established a membership directory data source with a two‑hour refresh cadence feeding the public dashboard; documented edit‑paths and expectations for update latency.
- Monitored Power BI refresh alerts and advised on retry/triage for transient failures
4. Finance & Bookkeeping
- Created instructor‑reimbursement workflows (Cognito → SharePoint list) and surfaced the bookkeeping list for finance stakeholders.
- Helped route payment notifications to the proper finance owner and cleaned up legacy recipients
- Coordinated vendor invoicing entries and approvals for timely payment processing.
5. Website Content Operations
- Updated officer pages, fixed content issues, and posted program agendas and semester schedules.
- Published the annual calendar PDF and began loading individual events into the site calendar.
6. Security & Resilience
- Blocked an impersonation/phishing sender targeting leadership and shared forensic context with stakeholders.
- Advised on Power Automate connection re‑authentication for mission‑critical flows (administrator account),reducing downtime.
