As an IT professional, you’re likely familiar with the importance of data retention and recovery. The recycle bin in SharePoint and OneDrive plays a crucial role in safeguarding your files and ensuring that accidental deletions don’t lead to permanent data loss. Let’s dive into the details of how to manage the recycle bin effectively.

First Stage Recycle Bin

What Is the First Stage Recycle Bin?

  • When you delete a file from your OneDrive for Business or a SharePoint library, it initially goes to the first stage recycle bin.
  • In the first stage, deleted items are retained for approximately 93 days.
  • During this period, you can easily restore accidentally deleted files or folders.

How to Access the First Stage Recycle Bin

From the SharePoint Site:

  • Log in to your SharePoint site using your credentials.
  • Navigate to the Recycle Bin option located in the left-hand menu.
  • Here, you’ll find the items that were recently deleted from your site.

From the Admin Center:

  • Visit the SharePoint admin center website and sign in.
  • In the left pane, select the Recycle bin option.
  • This view provides an overview of deleted items across your entire SharePoint environment.

Second Stage Recycle Bin

What Is the Second Stage Recycle Bin?

  • If an item remains in the first stage recycle bin for the entire 93-day period, it is then moved to the second stage recycle bin.
  • The second stage serves as a safety net, retaining items for an additional 90 days.
  • After this second 90-day period, items are permanently deleted.

How to Access the Second Stage Recycle Bin:

  • Go to the SharePoint site and navigate to the ‘Recycle Bin’ section.
  • Click on ‘Second stage Recycle Bin’ to access the items that were previously deleted from the first stage.
  • From here, you can select the items you wish to restore or permanently delete.

Best Practices for Recycle Bin Management

Regularly Review Deleted Items: Periodically check the recycle bin to identify any critical files that need restoration.

Educate Users: Train your users on the importance of using the recycle bin rather than permanently deleting files.

Document Retention Policies: Establish clear retention policies to determine how long items should be kept in the recycle bin.

Your Safety Net

The recycle bin is your safety net—it ensures that accidental deletions don’t become irreversible losses. By understanding its stages and following best practices, you can effectively manage your data in SharePoint and OneDrive.
